Q. If I use the KTS Record Keeper, do I still need to save my receipts?
A. Yes. After you enter the receipt data in Record Keeper, simply bag or file the receipts and save them. In the event of a tax audit, the receipts are used to verify your entries. If you use the standard per diem food expense deduction, be sure to save your logbook too. It verifies your over night location.


Q. Why is the income page important?
A. Your total trip income can be based on a lot of extra factors (Drop/Hook, Extra stops, Detention time, etc.). Unfortunately, people can make mistakes. Use the income page in Record Keeper to verify that your trip settlements are correct.


Q. What are some of the expenses I can expect deductions for?
A. You can claim deductions on many items that are used for business purposes only. Your tax advisor should be able to determine which deductions you are eligible for. The most important thing you can do is to record expenses as they occur.


Q. Why are notes important?
A. Notes give you easy access to any type of information from Invoicing and Payments to Incidents and Claims. As soon as you enter the information into Record Keeper, it is stored for that trip. You can access it at any time without having to remember the exact details. There is no size constraints on the notes either, so you can enter two words or several pages.


Q. Can I view or print Income / Expense reports?
A. Absolutely! You can print the Income, Expense, Financial or Work-Related Totals reports based on a specific date range, a complete year, or even a Lifetime-to-Date.


Q. What is the Invoice System and how do I use it?
A. The Invoice System is a new feature of Record Keeper. It allows you to create and print a new invoice for each trip. This is important when dealing with Brokers or even some Employers who do not always pay on time. The Invoice System will allow you to create your own invoices for each trip, send them out and track the payments. If an invoice is past due, you will also be notified about it, that way you can resend it or follow up with the Broker / Employer.


Q. Why should I use Record Keeper?
A. To save time and money, plain and simple. When all your trip information is entered, you can see just how much you spent in trip expenses. Why search for receipts around tax time to figure out how much you can claim in deductions? Record Keeper will quickly display all the information for you, broken down by type of expense. That way if you aren' sure you can claim it, take the report to your tax advisor and they will be able to tell you what you can claim.
